Administrative Associate

Responsibilities:

  • Serves as the department receptionist answering incoming telephone calls as directed the Chief Administrative Officer and directs City Hall visitors to the proper office.
  • Maintains electronic files and appointments of the Chief Administrative Officer.
  • Handles mail and composes correspondence on behalf of the Chief Administrative Officer and Assistant Chief Administrative Officer.
  • Performs budget entry, requisition entry, and VISA Procard reconciliation.
  • Prepares meeting agendas, minutes, and posts such documents as required for the pension boards, Urban Forestry board and Human Rights Commission. Takes minutes for monthly department head staff meeting.
  • Handles bill payment, tracking of expenses, and administrative matters for the pension boards and Train Station Volunteer coordinator.
  • Assist the Communication Coordinator with public communications regarding City events, programs, and issues of interest to the residents and public in various online and print platforms such as LinkedIn, Twitter, Facebook, and other social media.
  • Conducts voter registration.
  • Coordinates with HR the Mission Possible employee award program.

Requirements:

  • Excellent organizational and secretarial skills, including proficiency in Microsoft Word and other software applications and use of general office equipment.
  • Strong verbal and written communication skills.
  • Ability to maintain the confidentially of information.
  • Ability to work with back-end computer applications to perform tasks related to our website.
  • Excellent verbal and written communication skills with the ability to interact effectively with public officials, the public, media representatives, and other City employees.
